Can I bring my staff with me to Personalization Labs?

Due to the limited space available, only providers may attend Personalization Labs. Staff may not attend. When you leave the Personalization Lab you will be able to share personalized content with others in your office. You are encouraged to work with your staff or department to determine who will create shared content after Go-Live.

Can I bring my frequently-used orders and notes to be personalized?

You are encouraged to bring a commonly used note such as an op note or order set as a reference, however, they will not be personalized during Labs. After completing Personalization Labs, you are encouraged to personalize up to Go-Live. All personalization is completed in production but signing orders/notes will not be available until Go-Live.

Who will create my personalized content?

Providers will be responsible for creating personalized content after attending Personalization Labs. Personalization activities are not performed during lab sessions.

How can I get additional help with personalizing?

You can repeat Personalization Labs before and after Go-Live if you need additional help with personalizing Epic. Drop-in office hours will also be available.

Do I need to attend a Personalization Lab?

Yes. This is the final step in your Epic training and is required for access to Epic. Labs are available six weeks prior to Go-Live and two weeks post-Live.

Where are Personalization Lab locations?

Personalization Labs are offered at multiple site throughout the academic campus and at Barnes-Jewish West Medical Office Building.

How do I sign up for a Personalization Lab?

Providers will work with their training coordinator or activation lead to register for Personalization Lab in Saba or Learn@Work as part of their Epic curriculum.

What should I bring with to a Personalization Lab?

Along with a frequently-used order/note bring your WUSTL key and password or BJC NT-ID and password. Log in access will be checked at the beginning of each lab to ensure correct user ID and password. You can also bring any devices (iPhone/Android/iPad) you plan to use Haiku/Canto on for help with installation.

Who will receive Super User communications? WUSM staff who have been identified as a Super User will receive an email from [email protected] indicating it is time to sign up to be a classroom assistant or other information important to the Super User program.

What is the process for registering to be a classroom assistant?

Super Users will receive an email with a link to the class(es) to provide classroom support. Super Users will launch the link associated with their Super User training (2/26-3/23).  The link will open a Google Sheet. The Google Sheet has tabs along the bottom, each labeled with the name of Epic classes.  To sign up, select the tab of the class you have taken and will provide support in.  Fill your name into one of the blue squares in the schedule for the date and time you want to attend. Be sure to also let your manager know the date and time you signed up to assist with classroom training. 

Who do I contact if I am unable to attend my scheduled classroom assistant time? If you cannot attend your scheduled classroom assistant time, email [email protected] indicating the date and time you will not be able to attend.     

How will attendance as a classroom assistant be monitored?  Training coordinators located at each training site update the Google Sheet and indicate if a classroom assistant was present for the class. 

What if I am a Super User, but I don’t have any Super User classes assigned?  If you are a Super User and do not have any Super User classes assigned to you in Learn@Work (Saba), you can still be a Super User.  Attend the end user class assigned to you in Learn@Work (Saba) and then sign up as a classroom assistant in the same classes at a later date.

What if all the Super Users classes are full? If you are unable to attend the assigned Super User classes because they are full, you can take the same training as an end user.  The same material is covered in either class.   You can still be a Super User if you take the end user class and then attend the same class later as a classroom assistant.  What makes you a Super User is experience assisting others while they are training/using Epic.             

Will Allscripts be available after June 2, 2018?  It will function in a “read only” environment, but you will not be able to enter new information after June 9th.  It will still be available on your desktop.

How do I prepare for Allscripts to be “read only”?  Please finish all your notes and tasks before Epic go-live.  You should get in the habit of keeping up now.  Please allot time from May 30-June 2 to finish up any remaining tasks.  Remember, Allscripts is the legal outpatient medical record up to June 2.  Anything considered or occuring prior to that date should be reflected in Allscripts.

When will Follow My Health (FMH), the Allscripts patient portal, be turned off?  May 31, 11:59 PM.  After this date, patients will be encouraged to use Epic MyChart starting June 2nd.  Patients will receive communications about signing up for MyChart in the weeks prior to go-live.  Providers will not be able to respond to patients via the FMH portal after May 31, but will have to call them or sign them up for the MyChart Epic portal.  June 1st will be a catch up day to clear out any messages.

What about future appointments, tests, and orders in Allscripts?  They will be converted into Epic by the departments.  This happens in the weeks before go-live.  Please note that all future ambulatory orders will appear in the provider’s Epic In Basket when you log into Epic for the first time.  You can batch sign them.

What will appear from Allscripts into Epic?  Approximately 5 years of office notes.  Please note that outside records which have been previously scanned into Allscripts will not appear in Epic.  This has been communicated several times in multiple forums and has been examined at many levels.  After we go-live on Epic, staff will be able to scan any new records into Epic (or print out any key piece of information from very old records from Allscripts and scan them into Epic).  Records from Allscripts will eventually be converted into an archive, but that is in the distant future.  For the time being, you will have the Allscripts icon on your desktop to access anything in the system which you desire to examine.  There will not be a direct “synced” link to Allscripts from within Epic.

What happens if my office receives outside records between now and go-live , but the patient’s appointment is in June?  Your office can scan them into Allscripts, which will be available on every computer.  Allscripts read-only will allow them to review those records.  Alternatively, your office can hold the records and scan them into Epic after go-live.  Or office may choose to do both options.  This is an interim state which won’t last too long, and is present in most changes to an EMR.

What else is in Epic?  Information from Clinical Desktop, NextGen (BJC Medical Group’s legacy EMR) and several other areas.

What else will be converted from Allscripts?  Problem lists, medications, allergies, history (medical, surgical, family, social), vaccinations, vitals, etc.  Please note that the conversion isn’t perfect.  Some information converted from Allscripts to Epic will need to be reconciled in Epic before it is part of the legal record.  In addition, there will be information in Epic from other legacy systems on the BJC side (clinical desktop, other BJC hospitals, etc.).  There also will be information from pharmacies (Surescripts – a national network of pharmacies).    Hence, some information can be optionally reconciled by any clinical staff.  This is necessary when combining systems into 1 future EHR.

What will I have to do in Epic that I don’t do in Allscripts?  Epic functions very differently. There are 100’s of WUSM physicians who have previously used Epic.  It is challenging to give a complete summary, but here are some examples:

  • All ambulatory orders have to be signed by the authorizing provider.  However, the orders are “live” and can be signed at any time.  They will appear in your In Basket.  They may be signed extremely quickly by highlighting multiple orders and signing all at once. 
  • In Epic, office visit encounters are closed/signed in order to bill.  Each office visit encounter requires three things in order to be signed and closed:  a visit diagnosis, a note and a level of service.  Once the encounter is closed, it is routed for billing.  If you have questions, ask your ambulatory team in training.
  • Can I still dictate? This is a departmental decision, but the attending will still have to sign the encounter in Epic once the note appears in Epic, so the visit can be charged.
  • It is important to understand that all providers and staff should be in their In Basket regularly with Epic.  This is a change for some providers from Allscripts.  After a period of adjustment, your workflows will be clearer.  Many items can be handled by staff, but there will be items the provider must view and act on from their In Basket.  Generally speaking, providers are in their In Basket every day, but it is much more efficient than “tasks” in Allscripts.  There is a learning curve, which is best discussed with departmental experts who have previously used Epic.

Definitions

I am not practicing until later this year. Can I defer my Epic training?

No. Epic training is required now for all providers. Even providers who may only practice once later in the year are required to attend Epic training ahead of June 1, 2018. This was decided by Washington University School of Medicine (WUSM) and hospital leaders in support of standardized Epic training for all providers ahead of Go-Live.

What is a Provider Educator? A Provider Educator is a provider who was selected by their department to provide classroom training to other providers, both within and outside of their specialty. These are BJC and WUSM providers and others identified.

What is a Super User? An employee selected by the department who will provide support in the clinics during go-live. They typically have a deep understanding of department work flows, they attend Epic training early, and they also attend 4-5 additional classes, serving in a support role for end users during the classes. On days when they are acting as Super Users, these staff are not also serving in their normal job duties. They are solely dedicated to supporting end users.

Providers have not typically been chosen to be Super Users; even Provider Educators are not typically Super Users under this definition. Most Provider Educators will teach classes but then return to their clinic duties when in the clinic. There are some exceptions; some departments are opting to relieve some of their Provider Educators of their clinical duties during the early days of the go-live to serve in a true Super User capacity for other providers.

What is an Activation Lead? An Activation Lead is the individual (typically manager or above) designated by your department as the key point of contact for the Epic implementation. They communicate all Epic related activities to the department staff as well as communicate departmental decisions back to the Epic team. They represent your department at a high level related to all Epic activities. This list shows the Activation Lead for each department.

What is an Activation Physician Sponsor? An Activation Physician Sponsor is the physician designated by your department as the key point of contact for the Epic implemenation. They are partnered with the Activation Lead and represent your department at a high level related to all Epic activities.

What is a Training Coordinator? Training Coordinators are selected by the department and are responsible for registering departmental employees (except Provider Educators) for Epic training. They coordinate schedules and coverage within a department/division/clinic so staff can attend training and clinic operations can still continue. There may be one or many Training Coordinators per department. Activation Leads will have more information about Training Coordinators for your department.

What is a Primary Security Contact? These individuals are selected by the department and are responsible for identifying the Epic role of each departmental employee in the Epic Validation Portal (click here to view the list). The Epic role drives the security, functionalilty, and training classes for a user, so selecting a user’s role is a critical step in the on-boarding of an Epic user and their ability to use Epic effectively.

Provider Questions

If I am a Provider Educator do I need to be registered for Epic classes? Provider Educators will not need to complete eLearning or classroom training because the Provider Educator on-boarding process will teach them everything covered in those activities and more. Provider Educators will be required to attend a personalization lab because through this exercise they will tailor Epic to meet their needs when using Epic in their “normal” capacity as a provider . Please note that eLearnings and classroom training may still show up in your Saba dashboard as “required” – the Epic1 training team will mark your eLearning and classroom training as completed prior to go-live.

If I have used Epic at another non-BJC facility, do I still have to go to training? Yes, all providers will need to attend BJC/WUSM specific Epic training classes that you are assigned. BJC/WUSM are implementing Epic 2017 and it has been customized specifically for our implementation. There is an option to test out of eLearnings. The link to take the test-out option is right below the eLearning link in Saba. You cannot gain access to Epic without attending the required Epic training:

  • Complete eLearning or eLearning test-out option
  • Attend classroom training
  • Attend personalization lab

If I am a provider and I went live at another location within BJC/WUSM (Pod 1 or 2), do I need to attend additional training prior to the academic campus go-live? You will not be required to repeat any training you have already attended, for example Inpatient training. Likewise, you will not be required to complete additional eLearnings. You will be required to attend classroom training for job functions you were not trained on for Pod 1 or Pod 2; an example of this could be, Ambulatory training.

Additional eLearnings may show up on your Learn@Work/Saba dashboard. These are not required, but for additional practice they can be taken at your discretion. The Epic1 training team will mark any uncompleted eLearnings as ‘complete’ prior to go-live.

If a provider has already completed a personalization lab as part of the Pod1 or Pod 2 Go-Live, do they need to repeat a personalization lab for the Academic Go-Live?

Providers are only required to take one personalization lab across all go-lives. Many providers choose to attend a personalization lab more than once for continued help with personalization but this is not required.

I feel like my eLearnings are not relevant to me or my field. Can you clarify? The eLearnings are a general introduction to Epic that have replaced classroom training. All BJC/WUSM providers in all fields that are live on Epic have completed the eLearnings. They serve as a foundation of knowledge, but are generally not specific to one specialty.

  • 4 hours of classroom training for inpatient (if applicable)
  • 2 hours of classroom training for personalization lab

Does training cover your individual workflows? No, Epic training does not cover your individual workflows, but instead covers functionality of using the Epic system. Your individual workflows will be determined by using the system with your staff, residents, clinics, etc., as every field works differently.

What about all these emails from BJC Saba? Saba sends several different types of email notifications. As your training coordinator signs you up for classes in Saba, invitations will be sent to you via Outlook. The email subject line will read “Registration for Instructor Led Class” and it will contain details about the class you are going to attend. You should accept that invitation so it goes on your Outlook calendar. These are your Epic classes you are required to attend. Discuss any other communications with your training coordinator.

Are meals served at these classes? They are served if class is longer than 5 hours or over a lunch or dinner hour. Water and coffee are available also.

After training, before go-live, what is my responsibility as a Super User and Provider Educator, or even as an end user? Practice, Practice, Practice!!!! When you attend your first Epic class, you will be given a generic login to access the Epic Playground. This allows you to log in as a test user to practice what you’ve learned and consider workflows in your areas – before you go live. Practice workflows that will occur in your particular setting for your users. This is the opportunity for you to discuss this with your end users and prepare for go live.

What is the Epic Playground (PLY) environment and how do I get access?

Epic Playground (PLY) is an environment outside of the classroom for end users to practice and apply what they learned in class. You access PLY through the Epic Web Portal on your desktop. What is the process for getting my username and password for Epic?

Your username and password for Epic is your WUSTL key and password.

I haven’t heard anything about Epic, who should I ask? Every department has an Activation Lead and an Activation Physician Sponsor. Work with your supervisor to contact your department Activation Lead or Activation Physician Sponsor.

Training Coordinator Questions

What if an employee is missing from the Validation Portal after their HR start date? There are two reasons a WU employee would not appear in the Validation Portal

  • WU HR does not yet list the employee in your department
  • For some employees this may happen after their start date due to delays in the employee providing hiring documentation or delays in this documentation being provided to HR.

⇨Verify the employee has had their start date and that they have been added to payroll.

  • The employee's HR job code is not noted as a job that requires Epic access

⇨ Contact [email protected] so the Epic1 team can investigate.

Is an employee missing from your MyTeam page?

There are a few reasons someone would not appear in your MyTeam page

  • The person does not have a role assigned in the validation portal.

⇨ If you are unsure, verify with your department’s primary security contact that the employee’s epic job role has been assigned..

  • The person is a dual employee (this means that they also appear in BJC HR). When a person appears in BJC HR they will only appear under their true BJC manager’s MyTeam page. There are three options to register dual/BJC employees:

⇨ Training Coordinator can sit with the employee and have them log in to register for the date and time you specify.

⇨ Schedule and attend a registration event where you can sit with an Epic1 coordinator to register any dual BJC and WU employees by emailing [email protected] or calling 314-273-4000 to request a date and time.

⇨ Call Epic Program Training to register this person for class. 314-273-4000

  • You are not assigned as the Training Coordinator

⇨ Only someone designated as the Training Coordinator for this employee can register this user for training.

⇨ To assign a new or transfer employee a Training Coordinator:

 

  • If none of the above are true

    ⇨ Contact [email protected] so the Epic1 team can investigate.

Does the employee’s curriculum in Saba not match their assigned role in the validation portal? Changes made in the validation portal feed to Saba twice daily. Depending on the timing of the role change, it may take up to one full business day for role changes to appear in Saba.

  • Wait 1-2 business days after the role was changed.

Is the employee’s curriculum in Saba missing a course that was noted in the validation portal?

Once an Epic job role is assigned in the validation portal, how long does it take for curriculum to display in Saba?

Provider Learner Questions

If I am a Provider Educator do I need to be registered for Epic classes? I am a non-provider and the completion of my eLearnings are not displaying in the Saba dashboard reports, why not? 

Because non-provider eLearnings are not required, Saba does not count them toward your “progress” toward completing your curriculum. Non-required items are recommended, but not reflected in the dashboard statuses.

What is the Epic Playground (PLY) environment and how do I get access?

I don’t know what my WUSTL Key is.  How do I find it? 

Your WUSTL Key is the username and password you use to log into HRMS.

What is the cancellation policy for Epic training classes? 

Epic training classes will be cancelled 48 hours in advance of the class if there is zero enrollment.

I have not heard anything about Epic, who should I ask? Every department has an Activation Lead. Work with your supervisor to contact your department Activation Lead.
